Turn a Limitation into Leverage: Smarter Automations with monday.com’s AI

In our teams latest YouTube walkthrough, we share how we helped one of our association clients eliminate hours of manual work by doing something monday.com doesn’t natively support: automating the population of an email column for seamless communications.

The Problem:

Our client needed a board to manage session bookings for their educators. Each time an educator was assigned to a session, they wanted to trigger a confirmation email automatically. Simple in theory.

But there’s a catch: monday.com doesn’t support email automations using mirror columns. Even if the email address exists in another board, if it’s mirrored in, it won’t trigger the automation.

The Solution:

We designed a clean, two-step workaround that solved the issue and saved the client hours of copy-pasting.

Step 1: Automate the Update
We built an automation to post the educator’s email into the item’s Updates section based on status—e.g., “Educator is Assigned.”

Step 2: Let AI Do the Heavy Lifting
Using monday.com’s built-in AI tools, we set the system to extract the email from the update and populate the native email column. That’s the column type automations do recognize.

Bonus: Smarter Emails, Less Work

With the native email column filled automatically, we could generate fully dynamic confirmation emails personalised with name, date, location, and more, all pulled straight from the board.

The result? A scalable system that runs in the background, reduces human error, and frees up your team to focus on strategy, not logistics.
